When the project is completed and the project's costs are paid, you should submit a final report. There you will report what you have implemented, the project's results, and the costs and documentation related to the project.
Checklist
Before you report
Check that you have the documentation required for your micro support. This may include:
- invoices or receipts and proof of payment
- accounting of voluntary time
- information and communication materials
- travel log or other travel documentation
- participant lists for costs related to snacks, lunch, or dinner
- any permits or other documentation required for the project

Financial reporting
Report receipts
To report your expenses, you should submit copies of receipts. For card or Swish payments, you should also attach proof of payment showing that the cost has been paid. Cash expenses cannot be reimbursed.
Report invoices
You should submit copies of invoices along with delivery notes and other relevant documents referred to by the invoice. The invoice should clearly contain the following information:
- The invoice should be addressed to the organization that has been granted the support.
- Bankgiro, plusgiro, or account number to which the invoice should be paid.
- Invoice number and invoice date.
- Clear information about what has been purchased or paid for.
- Clear indications of the total amount for the invoice, both excluding and including VAT.
TIPS!
If you have activities planned during the summer, it's good to remember that holiday periods can affect the sending of invoices from suppliers and possibly delay them.
Financial reporting
Proof of payment
Also include proof of payment showing that the expense has been paid. This may be documentation from online banking or a bank statement. The proof of payment should include the following:
- Payment date
- Paid amount
- Sender (which account the money was withdrawn from)
- Recipient (that the payment went to the same plusgiro, bankgiro, or account number as stated on the invoice)
- That the payment has been completed. A registered or upcoming payment does not count as proof of payment. It should be clear that the payment has been completed.
When paying with a card or Swish, you should also attach a bank statement or other proof of payment showing who paid for the purchase.
Expenses
If someone has made an expense on behalf of the organization, you should attach proof of payment showing both that the person has paid the expense and that the organization has reimbursed the person.
Other reporting
Report travel
If you have costs for mileage reimbursement, you should submit a travel log showing who drove, the number of miles driven, the distance, and the purpose of the trip. If you have costs for train, bus, or other travel, tickets or other travel documentation should be attached.
Report food and snacks
If you have costs for food and/or refreshments, you must attach participant lists showing who has participated.
Report voluntary time
Remember to document the voluntary time continuously throughout the microproject. Use Leader Spira Mares forms and fill them out during the project's progress – do not wait until the end of the project. This will make it easy to compile the hours when the project is to be finalized.
- Persons aged 13–15: 77 SEK per hour
- Persons aged 16 and over: 340 SEK per hour
What does it mean to report voluntary time?
Voluntary engagement is an important part of Leader. It shows the time, effort, and local commitment that people contribute to develop their community.
Voluntary time means work done without compensation within the project. Therefore, it is not something you receive money for, but the time has a value and is an important part of the project's implementation and results.
It can for example be time spent on planning and implementing activities, participating in meetings, promoting the project, or performing practical work.
